POLICIES AND PROCEDURES

 

 

12.1          Equipment

12.1.1    All equipment owned by the Association will be inventoried and labeled by the Sergeant at Arms.  An equipment inventory manual shall be kept at Station 49 showing location, condition, record of use, etc.  The Sergeant- at-Arms shall give an equipment report to the E-Board each month.

12.2          Committee Use

12.2.1    It is the responsibility of the chairperson of any committee using Association equipment to sign out the equipment and return it immediately after use in the condition it was acquired. (See Appendix 2)

12.3          Personal Use

12.3.1    Association use of equipment takes priority over personal use.

12.3.2    Active and Retired Association members borrowing equipment for personal use must (see section 12.3.3 for additional requirements for audio/visual equipment):

·         Obtain prior approval from an officer of the E-Board.

·         Sign equipment out and in, in the equipment inventory manual.

·         Return the equipment in like condition.

·         Not use Association property for financial gain.

·         Retain equipment only for the period of use.        

12.3.3    Audio/visual equipment

·         Active or retired member must meet the conditions of section 12.3.2.

·         Obtain prior approval from audio/visual committee chair.

·         Have a member of the association present who has been approved by the E-Board to set-up, operate, maintain, and take down the equipment.

12.3.4    Members or committee chairpersons who use or lend equipment are responsible for its condition when returned and for making necessary repairs if the equipment is misused.  Members are required to replace equipment that is lost while checked out to them personally.

12.3.5    Any outside person or organization must adhere to 12.3.2 and be sponsored by an Association member that will be responsible for the return of the equipment in the same condition as it was loaned.
