16.7.           Administrative Support

RESPONSIBILITIES:

Administrative Support staff person performs a variety of clerical, secretarial and administrative work providing support to the Chief Officers and Administrative functions of the District.  These positions report to the Administrative Assistant II.  This position is expected to operate under general direction. 

EXAMPLES OF DUTIES:  (The following is used as a partial description.)

Ø      Answer and direct phone calls

Ø      Assist the public with routine questions

Ø      Prepare reports, forms, and letters

Ø      Maintain accurate and up-to-date record of District Inventory

Ø      May attend meetings, record and prepare minutes

Ø      Prepare and track purchase orders

Ø      Collect fees for classes, development, assessments, licenses and permits

Ø      Create forms, organize records

Ø      Perform quality control in regards to incident reports

Ø      Input certificates and training records into Firehouse

Ø      Schedule appointments, meetings and conferences, maintain chief officers’ calendars

Ø      May participate in Public Education Programs

Ø      Track expiration dates of certificates and licenses

Desirable Qualifications

Knowledge of:

Ø      Basic office skills

Ø      District’s operating policies and procedures

Ø      Fire and medical terminology

 

Ability to:

Ø      Efficiently operate a windows based personal computer and other standard office equipment

Ø      Read and understand technical material

Ø      Comprehend and follow written and oral instructions

Ø      Work harmoniously with fellow employees

Ø      Coordinate multiple projects and meeting deadlines

Ø      Meet the public

Education and Certifications:

Ø      CPR-C certification

Minimum Qualifications

For Application to this Classification

Education and Certifications

Ø      High School Diploma or equivalent

Ø      California Class C Driver License

Experience:

Ø      This is an entry-level position, no experience is required

Conditions of Employment

Employees hired into this classification after July 1, 1995 shall:

Ø      Obtain CPR-C certification or equivalent within twelve months of employment, and maintain that certification for the duration of employment

Ø      Maintain a valid California Class C Driver License for the duration of employment.
